Licensed Software for a Small Business: What It Is Actually For

Most articles on this subject are written to frighten you. Fines, audits, blacklisting. We sell licences and we are not going to run that argument, because for a small business in Cameroon it is mostly not the real one.
Here is what licensing actually buys you, and where free tools are a defensible choice.
The reason that holds up: security patches
If a machine in your office holds client records, invoices or bank details, it needs to receive security updates. Cracked installers break that, either because the activator interferes with the update channel or because you were told to switch off your antivirus to run it.
That is not a hypothetical about regulation. It is the machine you actually work on, and it is the argument we would make if we were only allowed one.
The reason that depends on who you sell to
Software audits do happen, and asking for proof of licensing does happen. In our experience it comes up when a small business bids for work with an international company, an NGO or a public institution, where the procurement file asks what you run.
If you sell to local clients who never ask, this argument carries little weight and we are not going to pretend otherwise. If you are preparing a tender, it matters, and it is cheaper to be in order beforehand than to scramble during.
When free tools are genuinely fine
A one-person business writing quotes and keeping simple accounts can work with LibreOffice and Windows Defender and lose nothing important. Both are free and legal.
The limits show up in two places. Documents exchanged with people on Microsoft Office drift in formatting, which matters for a contract or a tender where layout counts. And once several people need to work on the same files, the friction starts costing more than the licence would.
What it actually costs
Less than most people assume, which is the part the fear-based articles never reach.
Office LTSC 2024 Standard is a one-time purchase covering Word, Excel, PowerPoint and more, and it costs a fraction of the retail Office 2024 Home & Business. If only one person needs only one application, the individual licences are cheaper still.
For the machines themselves, Windows 11 Pro adds BitLocker, which encrypts the drive. On a laptop that leaves the office with client files on it, that is the feature worth paying for rather than anything on a compliance checklist.
And a multi-device antivirus licence covers a team’s laptops and phones for one payment, which is usually cheaper than covering them one at a time.
What we will not promise
That a licence is permanent and guaranteed forever. The keys we sell are one-time purchases that do not expire, and we stand behind activation. But updates end when the publisher decides they end, and Windows 10 owners learned that in October 2025 with perfectly valid licences in hand.
We are a reseller based in Cameroon. We claim no partnership with Microsoft and no special status. The keys activate through the publisher’s own channels, which is the only claim that matters.
Tell us your team size and what they actually do, on WhatsApp, and we will tell you which licences you need. Occasionally the answer is fewer than you expected.
Common questions
Can my business run on free software?
For simple work with few people, yes, and legally. The problems start with shared files and with documents whose formatting has to survive being opened elsewhere.
Are software audits a real risk here?
They come up mainly in procurement with international companies, NGOs and public institutions. If you never bid for that kind of work, it is a weaker argument than the security one.
What is the cheapest legitimate route for a small team?
Office LTSC 2024 Standard for the suite, and a multi-device antivirus licence. Tell us the team size and we will work it out with you.
Do I need Windows Pro for a business?
Only for specific features, BitLocker being the main one. Home is enough for plenty of small businesses.
Do the licences expire?
No. They are one-time purchases. What ends eventually is the publisher’s update support, which is their decision rather than ours.
How do I pay without a bank card?
Pick your country and mobile wallet at checkout, then approve the payment on your phone.
